Create and Manage cPanel Mailboxes with Safe Access and Deletion

Published

Getting StartedcPanelEmail

cPanel Email Accounts lets an authorized account owner create and manage mailboxes for supported domains. A mailbox stores mail; a forwarder or alias can route an address without being the same thing. Confirm which service receives the domain’s mail before creating local accounts.

Create a mailbox

  1. Open your verified HTTPS cPanel service and select Email > Email Accounts > Create. Use the hosting account’s normal cPanel access, not a server root login.
  2. Select the correct domain and enter the intended local part. Use a separate mailbox for each person who needs individual access; role addresses can be mailboxes or deliberately configured aliases.
  3. Generate a strong unique password for this mailbox and store it securely. Do not reuse the hosting-panel password or the same password across mailboxes, even if one person operates them all.
  4. Choose a storage allocation within the plan’s limits and save. A quota controls mailbox storage; it is not protection against a DNS attack, and “unlimited” does not remove underlying account or disk limits.
  5. Reopen the saved entry, then verify authorized incoming and outgoing mail separately.

Manage access, settings and storage

Use Manage for password, storage and permitted restrictions. A password change can require updates to clients and applications; it is not a substitute for investigating compromised access. Use Connect Devices for the actual account’s connection settings, following the mail-settings guide.

Check Email opens the selected mailbox’s Webmail view. Current available clients depend on the server; do not expect historical Horde or SquirrelMail choices. Access through an authenticated cPanel owner session can grant mailbox access without asking for the mailbox password again, which makes protecting the hosting account especially important.

Review storage and any local copies retained by forwarding rules. Changing quota or forwarding does not automatically remove old messages. Use the supported disk-usage tools only with an intentional retention and recovery plan.

Delete only after preserving required data

Before deletion, independently export and verify needed messages, folders, contacts and configuration. Confirm the exact mailbox, ownership and any applications that use it. Deleting an account can permanently remove its mail and data; recreating the address does not restore the former contents. Suspending a particular capability may better fit a temporary restriction.

The cPanel system user email account is special and is not managed identically to ordinary mailboxes. It cannot simply be renamed, deleted or assigned an ordinary mailbox quota through this interface. Prefer a separate mailbox for daily use rather than relying on obscuring an administrator username as a security measure.
