Set Up and Manage cPanel Autoresponders Safely
Published
A cPanel autoresponder sends an automatic reply for a selected email address. It does not replace the mailbox, guarantee that every sender receives a reply or prove that a customer-service request has been processed. Confirm incoming delivery and use wording that does not promise an unverified response time.
Open the right account
In cPanel, use Email > Autoresponders and select the intended domain. Mailbox users can instead enter their verified HTTPS Webmail service and choose Autoresponders from its account/home settings when available. Return from Roundcube to Webmail settings if necessary. Webmail access does not let you create an autoresponder for the system default email account.
Set the reply and schedule
- Choose Add Autoresponder and confirm the address. Review an existing rule instead of attempting a second rule for the same address.
- Use a suitable character set, commonly UTF-8. Set the Interval in hours between responses to the same sender; it is not a delay before the first reply. Zero can generate a reply to every message, so avoid it unless that behavior is genuinely required.
- Enter a clear From name, subject and body. Enable HTML only when the body is intentionally HTML. Keep personal whereabouts, private contact information and sensitive internal details out of an automatic public-facing response.
- Choose the start and stop time. Check the workstation time/timezone and the saved schedule; the interface converts the supplied time. An indefinite response needs a deliberate removal plan.
- Save, reopen the entry and inspect the values before testing.
Verify without generating a reply loop
Use a consenting external test address and a harmless message. Check the original message in the intended mailbox and the reply at the test address, including its spam folder. A repeat message from the same address may legitimately receive no reply during the configured interval. Spam classification and other safeguards can suppress responses; an automatic reply is not proof of reliable delivery for all mail.
Avoid testing by pointing two autoresponders at each other. Account policies and outbound filtering still apply. When no reply arrives, inspect the active dates, interval, address, inbound delivery, outgoing logs and spam classification before disabling security checks.
Edit or retire the response
Open the exact entry and use Edit, then save the intended changes. To stop it, remove only that autoresponder and confirm. Removing the responder does not remove the mailbox or already sent messages. Verify ordinary incoming mail still reaches the intended destination after the change.
